Job Summary:

Since 1997, AlphaStaffHCM™ has delivered HR outsourcing solutions to thousands of small and medium-sized businesses across the country. We are searching for a versatile Accounts Payable Specialist for a fast-scaling group of beauty companies which sell both direct to consumer (DTC) and to major retailers. This role is remote (i.e., Work From Home) but with regular in-person meetings near Sunrise/Weston, FL. While the initial focus is on payables, you’ll also handle accounts received (AR) tasks, reconciliations, general accounting work as well as help streamline/optimize the processes for those functions. This position reports directly to the company’s lead finance executive.

You’ve handled high-volume AP and want a role where you can grow beyond invoice entry. You're organized, detail-oriented, and quick to spot issues before they snowball. You communicate clearly and proactively, especially when working from home, and can be counted on to follow through. You take ownership of your work, roll up your sleeves to get things done, and ask for guidance when needed. Loyalty, honesty, and confidentiality are non-negotiable for you. Responsibilities:

  • Handle full-cycle accounts payable, covering coding, invoice entry, and payment processing for a variety of vendor types, such as inventory purchases (3-way match). Obtain appropriate documentation and proper approvals.
  • Monitor the AP email account for incoming invoices and vendor correspondence.
  • Responsible for setting up new vendors, including W-9/W-8 collection, as well as banking/payment verification per company policy.
  • Assist with routine cash flow planning.
  • Support AR tasks and manual reconciliations as needed.
  • Responsible for Form 1099 preparation for multiple entities by required deadlines.
  • Reconcile vendor statements and resolve discrepancies quickly; monitor and communicate invoicing exceptions to appropriate personnel while keeping other Finance team members aware of any issues.
  • Assist in monthly and year-end close with attention to AP/AR cut-offs, accruals and journal entries.
  • Maintain and organize AP/AR records across multiple platforms and sources.
  • Collaborate with accounting leadership on improving AP processes and controls. One upcoming initiative is supporting the development and maintenance of an new expense policy and approval authorities.
  • Assist with ad hoc projects and/or tasks as assigned.
  • Act with a sense of urgency and professionalism to internal and external inquiries.

Qualifications:

  • Associated degree with 2+ years of AP experience or 4+ years of experience in an AP role.
  • Proficient in Microsoft Office, including Teams and Outlook; Strong Excel skills needed.
  • Experience with NetSuite preferred but not required. 
  • Working knowledge of GAAP and accounting concepts.
  • Ability to operate independently and communicate effectively in a remote, multi-system environment; conscientious and strong work ethic.
  • Great attention to detail, organizational and prioritization skills; ability to multi-task.
  • Professional demeanor; clear, concise verbal and written communication skills.
  • Experience preparing 1099s is required. Handling W-8 forms is a plus.
  • Familiarity with DTC or e-commerce operations is a plus.
  • Comfort with occasional month-end or project-related overtime.
  • Willing and motivated to learn and contribute outside of traditional AP duties.
