Job Description

System One has partnered with a Tulsa firm that is seeking an experienced Litigation Legal Secretary to support a dynamic team of attorneys in providing litigation and administrative assistance. This role will focus on enhancing the workflow of both senior and junior members of the firm.

Responsibilities:
  • Understanding fundamental pleadings, service of process protocols, and discovery procedures.
  • Crafting standard pleadings and a variety of legal documents.
  • Managing filings in state and federal courts, with a strong grasp of electronic filing processes.
  • Reviewing, organizing, and categorizing legal documents.
  • Drafting, submitting, and monitoring files in electronic case management systems.
  • Maintaining an organized approach to document storage in the firm's document management platform.
  • Overseeing attorneys’ billing activities, including time tracking, editing, and invoicing procedures.
  • Utilizing Outlook to track important litigation deadlines.
  • Establishing and managing files for new clients.
  • Performing general clerical duties, including drafting correspondence such as letters, memos, and emails.
  • Preparing and submitting expense reports and check requests.
Qualifications:
  • Minimum of 4 years in civil/commercial litigation is essential. Background in employment law is a plus.
  • Understanding of eBilling procedures and legal firm billing practices.
  • Awareness of state and federal filing structures and procedures.
  • Ability to edit and proofread documents effectively.
  • Quick and precise typing skills.
  • Strong organizational abilities in managing documents and files.
  • Willingness to learn and adapt to new technologies as needed.
  • Keen attention to detail is essential for success in this role.
  • Capability to handle multiple tasks and prioritize requests from various team members.
  • Strong verbal and written communication skills.
  • Dependability and punctuality in attendance.
  • Proficient in Microsoft Office Suite.
  • Familiarity with Adobe.
  • Experience with document management systems (e.g., iManage or similar).
  • Knowledge of legal billing software (e.g., Elite 3E or equivalent).
